Job Summary
We are seeking a highly organized and detail-oriented Virtual Assistant to support our medical records and subrogation processing operations. The ideal candidate will handle medical document requests, follow-ups, and subrogation claim initiation while providing administrative support. This role requires excellent communication skills, time management, and a proactive approach to ensure efficient workflow and timely resolution of tasks.
Key Responsibilities:
Medical Records Management:
- Request medical billing and records from providers promptly.
- Request account balances from healthcare facilities.
- Create and manage follow-up reminders (12 weeks) to confirm receipt and processing of document requests by hospitals.
- Perform routine follow-ups to ensure all requested documents are obtained in a timely manner.
Subrogation Claims Handling:
- Establish initial subrogation claims with the clients health insurance via phone, fax, or email.
- Schedule follow-up reminders (23 weeks) to confirm claims are open and in process.
Administrative Support:
- Provide assistance and support as needed to facilitate case progress.
- Maintain accurate and up-to-date records of all requests, follow-ups, and completed tasks.
- Communicate effectively with providers, insurers, and other stakeholders to ensure clarity and compliance.
Qualifications:
- Proven experience as a Virtual Assistant in medical billing, records management, and subrogation processing or in a similar administrative role.
- Strong organizational and time-management skills with attention to detail.
- Excellent verbal and written communication skills.
- Proficient in using office productivity tools (e.g., Microsoft Office, Google Workspace) and CRM or case management software.
- Ability to work independently, manage multiple tasks, and meet deadlines.
