We are seeking a dynamic and highly organized individual to join our team as a Business Administration Manager and Personal Assistant (PA). This dual-role position requires someone who is proactive, detail-oriented, and able to manage both the administrative operations of the business and assist senior leadership with personal and professional tasks.
The ideal candidate will demonstrate strong communication, time management, and multitasking skills, while maintaining confidentiality and discretion. The ideal candidate will also live in a commutable distance from Newmarket.
Business Administration Manager Responsibilities:
Oversee and manage daily operations of the businesses' administrative tasks, ensuring smooth workflowWork closely with partnering company to improve efficiencyManage marketing supplies and company equipmentPrepare and manage company documents, reports, presentations and correspondenceCoordinate with other departments to ensure effective communication and project executionHandle financial administration tasks, including purchasing and expensesAssist in planning and executing business meetings, events and conferencesMaintain and update business databases and files to ensure accuracy and compliancePersonal Assistant (PA) Responsibilities:
Provide high-level administrative support to the management team, including managing calendars, appointments and scheduling meetingsHandle personal errands and day-to-day tasks for Snr Management as needed, maintaining a high level of confidentialityScreen and prioritize, emails and correspondence, ensuring timely responsesOrganize travel arrangements, including flights, accommodations and itinerariesCoordinate events, dinners and personal engagements as requiredAssist with preparing personal documents, reports and presentationsMaintain and update a personal filing system, ensuring organization and accessibility of important materialsLiaise with other personal staff or external service providers to facilitate smooth operationsSkills and Qualifications:
Proven experience in business administration or office managementPrior experience as a personal assistant or executive assistant preferredStrong organizational and multi-tasking skills, with the ability to prioritize effectivelyExceptional communication skills, both written and verbalHigh attention to detail and accuracyDiscretion and the ability to handle confidential information appropriatelyProficiency with office software – particularly spreadsheetsAbility to work independently and as part of a team in a fast-paced environmentStrong problem-solving skills and ability to adapt to changing circumstancesA flexible and proactive approach to work, with a positive attitudeEducation and Experience:
3+ years of experience in business administration, office management, or executive assistanceWorking Conditions:
Fully remote, working from homeFull-time, with flexibility required to manage both business and personal tasksOccasional travel may be requiredSome after-hours availability may be needed for time-sensitive tasks
