Welcome to Citizen Remote LLC (“Citizen Remote,” “we,” “us,” or “our”). Your privacy is important to us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services, including our website at https://citizenremote.com, our mobile applications, and all related tools and features such as the Wizard (e.g. Visa, Tax, Insurance, or other service-specific Wizards) and community areas (the “Service”). By using the Service, you acknowledge that you have read and understood this Privacy Policy.

1. Definitions

  • Personal Data means any information that identifies or can reasonably be linked with a person. Examples include name, date of birth, nationality, passport or ID details, contact details, payment information, and application data.

  • Processing means any operation performed on Personal Data. Examples include collection, recording, organization, storage, adaptation, retrieval, consultation, use, disclosure, transfer, restriction, erasure, or destruction.

  • Data Controller means the entity that determines how and why Personal Data is processed. For the Service, the Data Controller is Citizen Remote LLC, 651 N Broad St, Suite 206, Middletown, Delaware 19709. Contact: hello@citizenremote.com.

  • Data Processor means any third party that processes Personal Data on behalf of the Data Controller according to documented instructions.

  • User means an individual or legal entity that accesses or uses the Service. For United States state privacy laws, User also covers the term Consumer.

  • Account means the unique profile you create to access the Service. An Account may include your Personal Data, preferences, and usage data and is used to authenticate you and provide access to Service features.

  • Service means the website, mobile applications, platform, Wizards (including Visa, Tax, Insurance, Residency, and other service-specific Wizards), communications, tools, and any other products or services operated by Citizen Remote.

  • Wizard means Citizen Remote’s service-specific module through which users interact with approved partners and obtain assistance (for example, Visa Wizard, Tax Wizard, Insurance Wizard). All Wizards collectively form part of the Citizen Remote platform.

  • Wizard Communications means messages and written interactions exchanged inside any Wizard between users, Citizen Remote, and service providers through the platform.

  • Communications means messages and written interactions exchanged through the Citizen Remote platform, including those sent within any Wizard, internal chat functions, or community features.

  • Sensitive Documents means documents or images uploaded for visa, residency, tax, or similar legal purposes. Examples include passports, government IDs, bank statements, proof of address, and certificates. These are processed only to deliver the requested service.

  • Aggregated Data means information that has been combined so it no longer relates to an identifiable person.

  • Anonymized Data means information that has been processed so that an individual is not identifiable and cannot be reidentified by Citizen Remote using reasonably available means.

  • Pseudonymized Data means information that cannot be attributed to a specific person without additional data kept separately and protected by technical and organizational measures.

  • Cookies means small text files placed on a device to store settings and track activity. See the Cookies and Tracking section for details.

  • Partner means an independent service provider that may assist in delivering services through the platform. Examples include licensed immigration lawyers, tax advisors, and relocation specialists.

  • Payment Processor means a third party that processes payments for the Service on Citizen Remote’s behalf.

2. Information We Collect

We collect Personal Data in several ways to provide and improve the Service. The information we collect falls into the categories below.

2.1  Personal Data You Provide to Us

When you create an Account or use any part of the Service — including visa, residency, tax, insurance, or relocation assistance, or participation in community and social features — you may provide:

  • Full name, date of birth, nationality, and passport or government-ID details

  • Contact information (email address, phone number, mailing or residence address)

  • Employment, educational, or financial details required for visa or tax processing

  • Documents supporting your application (e.g., proof of income, bank statements, certificates, proof of accommodation)

  • Payment information (credit or debit-card details, billing address, transaction data)

  • Account credentials and profile preferences

  • Content you choose to post or share publicly on our community or social sections, including photos, comments, or messages

  • Communications and messages exchanged through the relevant Wizard or with service partners via the platform

  • Any additional information you voluntarily provide when corresponding with us or our partners

Children’s Information – If you apply for immigration or residency services for a child under 18, we collect the child’s personal data (such as name, date of birth, nationality, and passport details) only as required to process their application and only with verified parental or guardian consent. We do not use children’s information for marketing or analytics.

2.2  Automatically Collected Data

When you access or use the Service, we automatically collect certain technical and usage information, including:

  • Device and connection data (IP address, browser type, operating system, device identifiers)

  • Activity data (pages or screens visited, time spent, features used, interactions, referring URLs)

  • Diagnostic, crash, and performance logs

  • Cookies and similar tracking technologies (see Section 9 – Cookies & Tracking Technologies)

This data helps us secure, operate, and improve the Service and personalize your experience.

2.3  Data from Third Parties

We may also receive information from:

  • Government authorities, embassies, or legal representatives – to verify eligibility or complete immigration, tax, or residency processes

  • Independent partners – including immigration lawyers, tax advisors, and relocation specialists engaged through our platform

  • Payment processors and financial institutions – to confirm and complete transactions

  • Social-login providers – if you choose to register or sign in through a third-party account (e.g., Google, Facebook, LinkedIn)

  • Analytics and marketing tools – which provide aggregated or pseudonymized insights about Service usage

All third parties are required by contract to process Personal Data in compliance with this Privacy Policy and applicable data-protection laws.

3. How We Use Your Information

We use Personal Data to operate, provide, and improve the Service and to meet legal obligations. Specifically, we use it to:

  • Process visa, residency, tax, and relocation applications and communicate with independent partners involved in those services.

  • Verify identity, manage Accounts, and provide customer support.

  • Comply with immigration, financial, and other regulatory requirements.

  • Secure the platform and prevent fraud, abuse, or unauthorized access.

  • Improve and personalize the Service, including website performance, content relevance, and customer experience.

  • Manage payments, invoices, and transaction records.

  • Communicate with you regarding your account, service updates, and application status.

  • Send marketing or promotional materials when you have opted in (you may opt out any time).

  • Conduct research, analytics, and product development to maintain and enhance the accuracy, functionality, and security of our systems.

3.1 AI and Automated Processing

Citizen Remote may use aggregated, anonymized, or pseudonymized data derived from user activity within the platform — including system interactions, usage patterns, and communications inside any Wizard or community areas — to train, fine-tune, and improve internal artificial-intelligence and machine-learning systems.

Sensitive or personally identifiable documents submitted for visa, residency, tax, or other legal purposes (such as passports, IDs, or financial records) are never included in AI-training datasets. They are processed only to deliver the requested Service.

The lawful basis for this limited processing is our legitimate interest in maintaining and improving the safety, accuracy, and efficiency of our products and services. You may object to this processing at any time by contacting hello@citizenremote.com.

3.2 Information Sharing

We may share your Personal Data in the following situations:

  • With Service Providers and Partners – Independent immigration lawyers, tax advisors, relocation specialists, and other verified providers who assist in delivering Services through our platform. All are bound by confidentiality and data-protection obligations.

  • With Technical Service Providers – Vendors who host, maintain, secure, analyze, or support the Service (for example, analytics, IT, cloud, and payment-processing providers).

  • For Business Transfers – During negotiations or completion of a merger, sale, or acquisition of Citizen Remote’s assets.

  • With Affiliates – Parent or subsidiary companies and entities under common control that follow this Privacy Policy.

  • With Business Partners – To offer complementary products, services, or promotions, consistent with your marketing preferences.

  • With Other Users – When you choose to share content or interact in public or social areas of the platform, the information you post may be visible to other users.

4. Detailed Information on the Processing of Personal Data

4.1 Analytics and Platform Performance

We use trusted analytics providers to monitor how the Service is used and to help us improve reliability, security, and usability.

These tools collect aggregated or pseudonymized information such as device data, interaction patterns, navigation paths, and feature usage.

Analytics results are used to understand demand, optimize workflows, and troubleshoot errors.

Sensitive Documents are never included in analytics data.

4.2 Product Development and AI Improvement

We may process aggregated, anonymized, or pseudonymized data to maintain, test, and enhance our technology and infrastructure.

This includes improving the Wizard, automation, and AI-assisted features that support document preparation, eligibility matching, and customer-support efficiency.

Data used for these purposes is stripped of personal identifiers and cannot be linked back to individual Users.

All processing is based on our legitimate interest in maintaining and improving the quality, accuracy, and security of our systems.

4.3 Advertising and Marketing

We may work with advertising networks or marketing service providers to promote our Services.

These partners may use cookies or similar technologies to measure ad reach, prevent duplicate impressions, and tailor marketing to relevant audiences.

Marketing activities use only aggregated or consent-based data.

You can opt out of marketing cookies or withdraw consent for marketing emails at any time.

4.4 Email Marketing and Communications

If you have subscribed or otherwise consented, we may send you newsletters, educational material, and promotional offers.

We may also send service or security notices that are necessary to operate your Account.

4.5 Payments and Financial Processing

When you make a payment, your transaction is handled by independent Payment Processors operating under PCI-DSS or equivalent standards.

Citizen Remote receives confirmation of payment status and basic transaction details but does not store full payment-card information.

Payment data is processed only to complete authorized transactions, prevent fraud, and maintain financial and tax records.

4.6 Independent Partners and Service Providers

To deliver visa, tax, and relocation services, we share necessary Personal Data with independent Partners such as licensed lawyers, tax advisors, or relocation specialists.

Each Partner acts as a separate Data Controller or Data Processor under their own professional obligations and is contractually required to maintain confidentiality and data protection consistent with this Privacy Policy.

4.7 Technical and Security Processing

We use hosting, IT, and cybersecurity providers to store and protect data, detect fraud, ensure uptime, and respond to incidents.

Logs and diagnostic data may be processed to identify errors or security events.

Such data is retained only as long as necessary for technical and legal compliance.

5. Social Media Pages

Citizen Remote may maintain official pages or accounts on third-party social media platforms such as LinkedIn, Facebook, Instagram, or X (Twitter). These pages are used to share information, updates, and marketing content about our Services and to engage with our community.

Any interaction you have on these platforms (such as liking, commenting, following, or messaging) is governed by the respective platform’s own terms of service and privacy policy. Citizen Remote does not control, operate, or store personal information collected directly by those platforms.

We may receive aggregated or anonymized analytics from social-media providers about engagement with our pages or campaigns. This information helps us understand general trends but does not identify individual users.

If you communicate with us through a social-media direct message or comment, we may process the information you provide (for example, your username, contact details, or message content) only to respond to your inquiry or provide requested support. Such data is handled in accordance with this Privacy Policy and is not used for AI training or unrelated analytics.

6. International Data Transfers

Citizen Remote operates globally. Your Personal Data may be processed and stored in the United States (where Citizen Remote LLC is based) and in other countries where we or our verified Partners, service providers, or hosting providers maintain operations.

This means your information may be transferred to jurisdictions whose data-protection laws differ from those in your home country. When such transfers occur, we implement appropriate safeguards to protect your information and ensure it is treated securely and in accordance with this Privacy Policy.

These safeguards may include:

  • Standard Contractual Clauses (SCCs) approved by the European Commission or UK ICO;

  • Data Processing Agreements (DPAs) with our Partners and service providers that set out confidentiality and security obligations; and

  • Technical and organizational measures, including encryption, access controls, and restricted processing environments.

All international transfers of Personal Data, including data processed for analytics or AI improvement, are performed only under these lawful mechanisms. Sensitive Documents are stored and processed exclusively for the delivery of the requested Service and are not transferred for unrelated purposes.

By using the Service and submitting your information, you acknowledge that such transfers may occur and that we will continue to protect your data as described in this Policy.

Citizen Remote collects personal information that can directly or indirectly identify a User or their device. Citizen Remote complies with data-protection laws in all jurisdictions where we operate. Depending on where you live, you may have specific privacy rights as outlined below

8.1 European Union and United Kingdom (EU GDPR & UK GDPR)

Under GDPR, individuals (Data Subjects) have the following rights:

8.2 Canada (PIPEDA)

Under the Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Request correction of inaccurate information.

  • Withdraw consent where processing is based on consent.

  • File a complaint regarding privacy practices.

Exceptions: PIPEDA does not cover business contact information used strictly for employment, nor information collected for journalistic or governmental purposes.

To protect your privacy, we will verify your identity before processing any request. We respond to verified requests within 14 days, extendable by an additional 14 days if necessary.

If you object to the use of your anonymized data for AI improvement, you may also contact us at the same address.

9. Data Retention

Citizen Remote retains Personal Data only for as long as necessary to fulfill the purposes for which it was collected, including to:

  • Deliver and maintain the Services you requested;

  • Comply with legal, accounting, and regulatory obligations; and

  • Resolve disputes or enforce agreements.

Retention periods vary depending on the type of data and the Service provided:

  • Service Data (e.g., visa, residency, or tax records) is retained for as long as required by law or by the relevant government authority, typically between 3 and 10 years.

  • Account and Communication Data is retained while your account remains active and for a limited period afterward to maintain records of transactions and correspondence.

  • Payment Records are kept for the period required under applicable financial and tax laws.

  • Anonymized or Aggregated Data used for analytics or AI training may be stored indefinitely, as it no longer identifies any individual.

When retention periods expire, Personal Data is securely deleted, anonymized, or placed beyond further processing (for example, archived under legal hold where required). Backup copies are routinely overwritten or encrypted as part of our secure data-lifecycle management.

10. Cookies & Tracking Technologies

Citizen Remote uses cookies and similar tracking technologies to provide, personalize, and improve the Service. These technologies help us:

  • Maintain secure sessions and platform functionality;

  • Remember preferences and account settings;

  • Analyze website and app performance;

  • Deliver relevant content and measure marketing effectiveness.

Cookies may be placed by Citizen Remote directly (first-party cookies) or by trusted partners providing analytics, payment processing, or advertising services (third-party cookies).

Citizen Remote is not responsible for the content, security, or privacy practices of any third-party sites. Any personal information you provide to those sites is governed by their own privacy policies and terms, not by this Privacy Policy.

We encourage you to review the privacy policies of any external sites before submitting personal information.

12. Security Measures

Citizen Remote employs industry-standard technical and organizational measures to protect your Personal Data against unauthorized access, disclosure, alteration, or destruction.

These measures may include, but are not limited to:

  • Encryption of data in transit and at rest;

  • Secure cloud infrastructure (such as Google Cloud, which is PCI-DSS and ISO 27001 certified);

  • Employee confidentiality agreements and privacy training.

While we take extensive precautions to safeguard your information, no online platform or electronic transmission is completely secure. Therefore, we cannot guarantee absolute security. However, we continually review and improve our security practices to maintain a high level of protection across all systems and partners.

13. Children’s Privacy

Citizen Remote does not knowingly collect or process Personal Data from individuals under the age of 18, except when such data is necessary to provide immigration, residency, or related services for a child through a verified parent or legal guardian.

If a parent or guardian submits an application on behalf of a child, we collect only the information required to complete that child’s immigration or residency process and use it solely for that lawful purpose. We do not use children’s information for marketing, analytics, or AI training.

If you are a parent or guardian and believe your child has provided Personal Data to Citizen Remote without your consent, please contact us immediately at hello@citizenremote.com. Upon verification, we will promptly delete any such information from our systems.

14. Changes to This Privacy Policy

Citizen Remote may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or the functionality of our Services. When updates are made, the “Last Updated” date at the top of this page will be revised accordingly.

If a change is material — such as expanding how we process data, introducing new features, or updating AI-related practices — we will provide additional notice through email or an in-app notification before the changes take effect.
